Job Specification: Projects Co‑Ordinator

Location: Bedford Road, Pavenham, Bedfordshire, MK43 7PS
Working Hours: Monday–Friday, 8:30am – 5:00pm (30‑minute lunch at 1:00pm)

Reports To: Projects Manager

Company Overview

A specialist manufacturer and subcontractor supplying secure, high‑performance door and access systems for government and public‑sector projects. The company designs, manufactures and installs bespoke door solutions used in high‑security environments and works closely with main contractors on multi‑site installation programmes.

Role Overview

The Projects Co‑Ordinator supports the Projects Manager and wider project team to ensure the smooth delivery of customer projects. The role focuses on excellent customer service, accurate project administration, and effective coordination between internal departments, suppliers and clients. You will ensure all contractual responsibilities are met and that project information flows correctly through the business.

Key Responsibilities

Project Coordination

  • Review information from the sales team and assist the Projects CAD Design Team with manufacturing drawings and production schedules.
  • Maintain and update project timelines, ensuring customers receive updates in line with contract requirements or agreed timescales.
  • Ensure all project information (drawings, emails, documentation) is accurate and passed to the correct departments for processing.
  • Manage customer cloud‑based and portal systems such as 4Projects and Oracle Aconex.
  • Attend customer conference calls and meetings, provide project updates, complete assigned actions and delegate tasks to relevant team members.
  • Liaise with the supply chain to ensure key suppliers meet their obligations.
  • Produce and maintain internal and external project reports, ensuring accuracy at all times.

Accounts Support

  • Work with Group Accounts to resolve customer payment queries.
  • Liaise directly with customers to support invoice and payment processes.

Skills and Experience Required

  • Strong communication skills (telephone, face‑to‑face and written).
  • High attention to detail with strong numerical and written accuracy.
  • Ability to work collaboratively as part of a team.
  • Previous experience in a construction or engineering environment is beneficial.
  • Strong organisational skills with the ability to manage multiple tasks simultaneously.
  • Confidence using online portals and digital project systems.
